When you create your virtual space, you get a map URL to invite other people.
On the Free plan, your map is public. There is a single URL, and anyone who has it can enter at any time.
On a paid plan, you can close the door. The URL stays the same for everyone, but you decide who gets through it. Require authentication so visitors must sign in, turn off self-registration so only the members you have added can enter, and use tags to control who may access which rooms. See the access management documentation.
Members can also receive an auto login token, a personal connection link that signs them in automatically. It is a convenience for your members that you typically use in an event where users will connect only once. For regular users (in a virtual office setting), use the classic login/password flow or connect with SSO.

A WOKA is your avatar in WorkAdventure. It is the character other people see moving around the map, and the one they walk up to in order to talk to you.
To change yours, open the menu inside your space and click “customize your avatar”. You dress it from head to toe: body, clothes, hair, accessories. You can also give it a companion, a small animal that follows you around.
Changing it takes a few seconds, and it is worth doing at the start of an event. On a map with a hundred people, the avatar is how colleagues find you. Organisers often go further and give their team a custom skin, so attendees can tell staff from other attendees at a glance.
-
Yes, on a paid plan. A WOKA is built from six layers, and you can upload your own versions of them, whether it is a uniform, a mascot or a costume for a themed event. Your designs then appear in the avatar picker alongside the default ones.
The format
A character combines six layers: body, eyes, hairs, clothes, hats and accessories. Each layer is a PNG sprite sheet of 3 by 4 sprites, drawn on the 32x32 pixel grid. The four rows are the character walking down, left, right and up, in that order, and each animation is three sprites wide.
How to publish it
Upload the layer from your administration dashboard. You can restrict it to members carrying a given tag, so a conference organiser can reserve a staff shirt for the team, or a company can dress only its own employees in its colours.
What it is usually for. Organisers give staff a distinctive skin so attendees can tell who to ask for help, companies dress avatars in the team’s colours, and a themed event dresses everyone.
Custom WOKAs are not available on the Free plan, nor in the self-hosted version. The full specification is in the custom WOKA documentation. If you do not have a designer, our team can produce the set with your map, just contact us.

No. The pixel-art look comes from the tiles the default templates are drawn with, not from the platform. A map is built out of 32x32 pixel tiles, and what those tiles contain is entirely up to you: a flat, modern, illustrated or photographic style all work, as long as the artwork is cut to that grid.
Three ways to get a non-pixelated map
- Use a tile set drawn in the style you want and build your map with it in Tiled, which is the tool that handles custom tile sets. You can then keep editing the content of the map in the built-in editor.
- Commission the artwork, then assemble the map yourself.
- Ask our designers for the whole thing, and they draw the tiles and the map together. Contact us.
Keep in mind that the tiles have to be consistent with each other. Mixing a photographic floor with a pixel-art chair looks worse than either style on its own. Whichever you pick, the interactive parts, such as meeting rooms, doors and embedded websites, work exactly the same way.

It depends which of the three routes you take, and the gap between them is large.
- A ready-to-use template, a few minutes. Right for trying it out, for a small team, or for an event next week.
- Building it yourself, 1 to 2 days for a first small map. Right for a space you want to keep and grow.
- A custom map by our designers, several days to a few weeks, depending on size. Right for your real offices, a campus, or a branded event.
A template is live as soon as you create your account. You pick one, you get a URL, you invite people. You can edit it afterwards in the built-in map editor, so starting costs you nothing later.
If you are working towards a date, the thing to plan is not the map but the content in it: the documents on the walls, the rooms, the access rules. Allow more time for that than for the drawing.
-
It depends on how far you want to go, and there are two tools for two levels of ambition.
The built-in map editor, no code required
From inside your space, with an admin or editor tag, open the map editor in the action bar. You can place objects and furniture, add interactive objects such as a computer that opens a website, define areas like meeting rooms, exits and entries, and edit in real time with several people at once. Most teams never need anything else, and this takes minutes rather than days.
Tiled, for full control
Tiled is a free offline editor used to draw floors and walls, build a map from scratch and add scripts. It is more powerful and asks for some design skill and patience. If it is your first map, start small and simple, and count one to two days.
See the map building documentation to choose between the two, follow the Starter Kit and download Tiled. Video tutorials are also available.

Yes. WorkAdventure has its own team of designers, and they take on both ends of the job: a map drawn from scratch, such as your offices, a campus or a world of your own, or a few adjustments to one of the ready-to-use templates so it fits your event.
How it works
- Tell us what you need: what the space is for, roughly how many people, and any deadline you are working towards. You can also come and talk it through in our virtual offices.
- Send what you have: floor plans, a brand guide, the list of rooms you need.
- The designers come back with the map, and you keep editing it yourself afterwards in the built-in map editor.
A custom map takes from a few days to a few weeks depending on its size, so start the conversation early if it is for a dated event. If your deadline is closer than that, a template plus your logo is live the same day, see how long it takes.
